Teams
Create teams inside your organization to group members and manage billing.
Teams let you sub-divide your organization into smaller groups, such as Sales, Support, or a research department, so you can organize members and apply a separate billing policy where it makes sense. Teams live inside an organization, so you will need an organization first before you can create one.
Teams are a customer self-service feature. As an organization owner or admin, you manage your own teams from your organization's Teams tab. There is no need to contact us to set them up.
What a team is
A team is a named group of people inside one organization. Each team has its own member list, an optional description and color to tell it apart, its own membership roles, and, if you want, its own billing policy that decides how that team's recording time is funded.
Team roles
Membership within a team uses two roles:

These team roles are separate from your organization roles (owner, admin, member, viewer). Who can create and manage teams is governed by your organization role: only the organization owner and admins can create, edit, or delete teams. Create a team
Two teams in the same organization cannot share a name. If a name is already taken, pick a different one.
Add members to a team
You can place people into a team in two ways:
- When you invite them. Assign someone to a team as part of inviting them to the organization.
- From team management. Add existing organization members to a team at any time from the Teams tab.
Only organization owners and admins can create or manage teams and their membership. People you add to a team appear in that team's member list.
Use teams to keep sharing tidy. When you share a session, you can grant access to a whole team, every active member of that team can then open it, and people who leave the team lose access automatically. Learn more in Sharing a Session.
Team billing policy
Each team can have its own billing policy (the ordered list of funding sources used to pay for that team's recording time), or it can simply inherit the organization's policy.
The available funding sources, in the order you arrange them, are:
- Personal included allowance
- Team shared balance
- Organization shared balance
- Personal paid balance
A team can inherit the organization's policy, and the organization in turn can inherit Kalima's global default, so you only need to set an explicit policy where a team genuinely needs different rules. You can also top up a team's shared balance directly from the organization settings.

Deleting a team
Organization owners and admins can delete a team from the Teams tab. Deleting a team is a soft delete. The team is marked inactive rather than erased, so the members themselves remain in your organization. Any session shares that were limited to that team will no longer grant access through it.

Teams are created inside organizations. Organizations are available on the Plus plan and above, while the seat-based collaboration plans are Team and Enterprise. Need more than 50 members on a team? Enterprise removes the cap, see Kalima for Enterprise.
Use cases
Teams are useful when you want to separate Sales, Support, and Operations inside one company organization, give one team its own recording-credit policy so its usage is funded separately, or limit sensitive sessions to a single team rather than the whole organization.
