Workspaces are personal folders in your sidebar that help you keep a busy account tidy. Group your projects into visual buckets, Work, Personal, Clients, or anything else, each with its own name, icon, and color, so the sessions you need are always one glance away.
What a workspace is
A workspace is a private organizing layer that lives in your sidebar. It groups your projects (and the sessions inside them) under a name and a colored icon. Workspaces are just for you: they tidy your own view and are never shared with collaborators.
- Personal grouping: Sort your projects into folders like Work, Personal, or Clients, visible only to you.
- Icons and colors: Pick an icon from 11 categories and one of 8 preset colors so each group is easy to spot.
- Reorderable: Drag workspaces into the order that suits how you work.
- Private to you: Workspaces are never shared. They organize your own sidebar, nothing more.
Workspaces vs. projects
It is easy to mix these up, so here is the short version: a workspace is your personal filing system, while a project is where collaboration and shared settings happen.

Think of it this way: a workspace contains projects, and a project contains sessions. If you want to collaborate or apply the same transcription settings to many recordings, that belongs in a project. If you just want a cleaner sidebar, that is a workspace.
Create and customize a workspace
Assign projects to a workspace
When you create or edit a project, you can choose which workspace it belongs to. Reassigning a project to a different workspace is just as easy, open the project, edit it, and pick another workspace.
Rename, recolor, and reorder
Open the workspace menu to rename it, change its color or icon, or delete it. To change the order they appear in, drag workspaces up or down in the sidebar until the layout matches how you work.
Workspace limits by plan
The number of workspaces you can create depends on your plan.

If you hit your workspace limit, you can delete a workspace you no longer use to free up room, or upgrade your plan for a higher limit. Deleting a workspace never deletes your projects, they simply lose their workspace grouping and remain in your account.
Good ways to use workspaces
- Separate clients from internal work: Keep client projects in one workspace and your own notes in another, so nothing gets mixed up.
- Group by department or topic: Give Sales, Marketing, and Research each a workspace with its own color.
- Tame a busy sidebar: If you run many projects, workspaces keep the sidebar readable instead of one long list.
What happens when you delete a workspace
Deleting a workspace is safe for your content. The projects that were grouped under it stay exactly where they are, they just become unassigned and lose the workspace grouping. You can re-assign them to another workspace at any time by editing each project.
