Members & Roles

Invite people to your organization and manage their roles and access.

An organization is a shared home for your company or team, and its members are the people who belong to it. This page explains how to invite members, what each organization role can do, how to promote or remove people, and which roles count toward your billable seats.

You manage everything below from your organization's Members tab. This is your own organization's self-service administration. There is nothing technical to set up, and you stay in control of who belongs and what they can do.

The four organization roles

Every person in an organization holds exactly one role. Roles decide what each person can see and manage, and they also determine whether the person consumes a billable seat.

There is exactly one owner per organization, the person who created it. The owner is a protected role: it cannot be removed, and only the owner can transfer ownership to someone else. Inviting members

Admins and the owner can invite anyone by email. The invitee receives an email with a link to accept, and once they accept they appear in your member list with the role you chose.

Note

The invite link is tied to the exact email address you sent it to. The recipient must accept it while signed in with that same email. Accepting from a different account will not work.

What to know about invitations

  • Invitations expire after 7 days. After that, the invite is marked expired and you will need to send a fresh one.
  • You cannot have two open invites for the same email. If an invitation for that address is already pending, send a new one only after revoking the existing one, or wait for the recipient to accept it.
  • You can invite people who assign a team at the same time. When inviting, you can place the new member directly into one of your teams.
  • You assign Member or Admin at invite time. The owner role is never granted by invitation; it belongs to the creator and only moves through an explicit ownership transfer.

Managing existing members

From the Members tab you can see everyone in your organization, with their name, email, and a role badge. Admins and the owner can manage them from there: change a role, suspend or reactivate access, remove someone, or transfer ownership.

Changing someone's role

To promote or demote a member, open the Members tab, find the person, and change their role badge to the new role. Promoting a member to admin gives them the ability to manage other members, teams, and billing, which is useful when you want help running a larger organization.

Note

The owner is protected. A non-owner admin cannot change or remove the owner; only the owner can modify the owner role or transfer ownership. If you need to step away from an organization you created, transfer ownership to another member first, then leave.

Suspending or removing a member

  • Suspend puts a member's access on hold without deleting them. This is handy for a temporary leave or while you sort out access, and you can reactivate them at any time.
  • Remove takes the person out of the organization entirely. Anyone who has left the company should be removed so they no longer consume a seat.
  • Members can leave on their own. A member who no longer needs to belong can remove themselves from the organization.

Seats: which roles count

Organizations bill per seat on the seat-based plans. A seat is a billable membership slot, and not every role uses one.

Only active owner, admin, and member roles count toward your billable seats. The viewer role gives read-only access to the member list and does not consume a seat, so you can give read-only visibility to people without paying for it. Idea

Use the viewer role for stakeholders who only need to see who is in the organization, and reserve paid member and admin seats for people who actually create sessions or manage the org.

Plan limits for members

How many people an organization can hold depends on your plan. On the Team plan an organization can have up to 50 members; on Enterprise member counts are unlimited. To create and own organizations at all you need a paid plan. See Organizations overview for who can own how many organizations.

Note

If you ever reach a member limit, you will see a prompt to upgrade your plan. Removing members who have left frees up room and seats.
